1. Registration and Payment
- Submission of registration constitutes a firm booking (subject to availability) and acceptance of these terms.
- Payment Due: All fees must be paid within 30 days of registration. If registering within 30 days of the event, payment must be made before the event starts. The Company reserves the right to cancel registrations if fees are unpaid. On-site payment will be required if fees remain unpaid by the event start.
- Cancellation by Customer: Cancellation charges apply as per the Cancellation Policy.
2. Substitutions
- Delegate substitutions are allowed at any time without cost. Contact the Registrations Department to facilitate a substitution.
3. Value Added Tax (VAT)
- VAT will be applied where applicable based on local regulations. Tax invoices/receipts will be issued with all registrations.
4. Cancellation Policy
Refund Policy:
- Full refund for cancellations made at least 30 days before the event.
- Refund minus 20% administrative charge for cancellations made between 7 and 30 days before the event.
- No refund for cancellations made within 7 days of the event, but a credit (minus 20% administrative charge) will be issued for future bookings.
- No refund or credit if cancellation is not communicated.
Card Processing Fees: Non-recoverable processing fees may be deducted from refunds.
5. Event Cancellation
- The Company reserves the right to cancel any event. If this occurs, a full refund will be provided. The Company’s liability is limited to the refund of registration fees only.
- The Company will notify attendees of cancellations via email and event website updates.
6. Force Majeure
- The Company is not responsible for events beyond its control, such as natural disasters or government actions. In such cases, no refunds are provided, but efforts will be made to reschedule.
7. Programme Changes
- The Company reserves the right to make alterations to the programme, date, or venue without prior notice. Significant changes will be communicated to attendees, and options (e.g., partial refunds or future credits) may be offered.
8. Liability
- Delegate Responsibility: Delegates must comply with venue regulations and are responsible for insuring any property they bring to the venue.
- Company Liability: The Company’s liability is limited to direct losses due to negligence, up to the amount paid by the delegate. No liability is accepted for indirect, consequential, or third-party losses.
- Indemnification: Delegates agree to indemnify the Company for any costs or damages arising from their actions or breach of venue rules.
9. Insurance
- Delegates are responsible for arranging appropriate insurance to cover their own costs and losses, including event cancellations or inability to attend.
10. Non-Discrimination Policy
- The Company is committed to equality and fair treatment for all, in compliance with applicable laws in the UK, EU, US, and Australia. The Company does not discriminate based on gender, age, marital status, sexual orientation, ethnicity, religion, culture, or disability.
11. Data Protection
- The Company processes personal data in accordance with applicable data protection laws. Data may be shared with sponsors, venues, and service providers, including those outside the EEA, under appropriate safeguards. For more details, refer to our Privacy Policy.
- The Company may use event-related photographs and video footage for promotional purposes unless explicitly requested otherwise by the attendee.
12. Governing Law and Dispute Resolution
- These terms are governed by the laws of England and Wales. However, where events occur outside the UK, relevant local consumer protection laws may apply. Disputes will be resolved through arbitration or mediation before litigation in international disputes.
